Hospitality accounting

Running a cafe or restaurant?
We know the numbers.

Hospitality is one of the most cash-intensive sectors in the economy. Daily EPOS takings, weekly stock orders, varied VAT rates on food and drink, tip distribution, and slim margins — it's a tough business, and bad accounting makes it tougher.

We work with cafes, pubs, restaurants and takeaways across the East Midlands. We set up proper EPOS reconciliation, handle the VAT correctly on eat-in vs takeaway, deal with tronc schemes for tips, and most importantly, give you monthly management numbers so you can spot a problem before it eats your cash.

Sound familiar?

Most businesses don't have an accountant.
They have a filing service.

If any of these ring true, you're not getting what you should be.

01
You only hear from them at year-end
No check-ins, no planning, no conversation. Just a bill and a set of accounts you don't fully understand.
02
You're never sure where you stand
Your numbers are months out of date. You're making decisions based on gut feel, not real figures.
03
Surprise invoices keep landing
An email here, a phone call there — and suddenly your bill is twice what you expected. No one told you.

Common questions

Things people ask us.

What VAT rate applies to food?

It depends on what it is and where it's eaten. Hot takeaway food is standard-rated (20%). Cold takeaway food is zero-rated. Eat-in food (hot or cold) is standard-rated. Alcoholic drinks are always standard-rated. We set your EPOS up so every item is coded correctly from the start.

What is a tronc scheme?

A tronc is a separate payroll arrangement for distributing tips. Done correctly, tips paid through a tronc are exempt from employer NIC (a 13.8% saving) and can reduce employee NIC too. We set up compliant tronc schemes and run them as part of your payroll.

How often should I be looking at my numbers?

In hospitality, ideally every week. Daily takings, weekly stock counts, and a monthly P&L. We set up a reporting dashboard in Xero so you can see key numbers at a glance without wading through the full books.
